Board of directors minute book

Minutes of the regular (monthly), special, and annual meetings of the board; regular (monthly) and annual reports of the general secretary, treasurer, and committees (standing and special); department reports; and miscellaneous correspondence and papers. Arranged chronologically. General format of arrangement for volume 3 and succeeding volumes is as follows: agenda or order of business for the meeting, minutes of regular, special, or annual meetings of the board (the board normally met monthly near the beginning of the month, with frequent special meetings through the month. Annual general meetings were usually held in May or June for the year ending April).

General secretary's report (presented at the regular monthly meeting, covering previous month's business). Treasurers report or financial statement (presented monthly for previous month). Committee reports (standing or departmental, such as finance, boy's department, membership, social, etc. or special committee, such as fund-raising, re-organization, etc.).

Miscellaneous items - following and interspersed among these are letters (relate d to association business), notices, programs or pamphlets of events, memoranda, recommendations, and usually following an election, lists of board members and officers with particulars (annually). Volume 3 opens with a brief history of the Victoria association by general secretary A.J. Brace, which lists all officers from establishment in 1884, and closes with two reports of commissions of the National Association of Y.M.C.A.

Loose items from volume 2

Loose items 1-39 are general secretary's reports and financial statements arranged chronologically. Items 40 - 53 include constitution of the Victoria branch, notices, clippings, extracts of minutes, rough notes, minutes, memoranda, correspondence, and pamphlets roughly arranged in chronological order. Item 54, prospectus, is from Volume 3. I.D. slips precede.

Loose papers from volume 1

Loose papers are predominately general secretary's reports with financial statements that accompany the bound minutes, together with miscellaneous items. Numbers in the top right corner of the I.D. slip signify item sequence, numbers in the top left signify corresponding pages in bound volume to which or within which the item was located; beneath the title line is a brief description of content and extent.

The fonds consists of minutes of meetings of the Board of Directors, General Secretary's Reports, financial statements and annual reports. It also includes films showing activities at the YMCA in 1938 and at the YMCA's Camp Thunderbird in 1938 and the early 1950s.

The series consists of the minutes of regular and special meetings of the Y.M.C.A. board of directors, Victoria branch, from 1906 to 1946, arranged continuously and chronologically in ten volumes, two in gray boxes, each holding a bound volume with associated loose papers, and eight ring binders.

Throughout the minute books occur associated items of two general types: appearing more or less regularly are the general secretary's reports (monthly), the treasurer's financial statements or budgets (monthly), and the minutes or reports of the annual general meeting (yearly); the second type of associated item, appearing more irregularly and less frequently, are the various departmental or committee reports, extracts or rough notes of minutes, notices, memoranda, newspaper clippings, printed pamphlets and programs, some correspondence (inward and outward), and other miscellaneous items.
