The series contains the records from various committees, commissions and other groups collaborating with the Ministry of Agriculture and Lands and its predecessors. These records include correspondence, reports, notices, memos, and draft changes to legislation and regulations. The series also contains a small number of discussions, drafts, correspondence and other records related to agreements between the Provincial Ministry and its Federal counterpart, inter-ministry agreements, agreements with other bodies.

The records are organized by subject and follow the Administrative Records Classification System (ARCS schedule 10001).

This series consists of Assistant Deputy Minister Stuart Culbertson’s records of the BC Fisheries Secretariat, 1996-1998. Board of examiners meeting files

The series consists of the meeting records of the board of examiners, a statutory body established under the Local Government Act (RSBC 1996, c. 323) to recognize and support the work of local government employees in the province by awarding certificates in local government administration through the certification program, and providing scholarship awards/financial assistance to local government employees who are pursuing courses leading to certification through the scholarship program. Established in 1948, the principal goal of the three-member board, appointed by the Lieutenant Governor in Council on the minister’s advice, is to improve the professional skills of British Columbia's local government administrators. These records were created between 1996 and 1998 under the Ministry of Municipal Affairs and Housing.
The records are arranged chronologically by meeting date. They consist of correspondence, meeting minutes, annual reports, and meeting agendas. These records are classified under 55100-20 (meeting files) and 55100-25 (meeting minutes) of the Local Government Services ORCS approved in 2006.

Inquiry into Six Mile Ranch, Kamloops on the Lake Resort fonds

Freedom of information requests

Series consists of a freedom of information request received by the Williams Lake District Office of the Ministry of Forests in 1996. The l request was for copies of cutting permits and road permits for the years 1995-1996. Following a complaint, the Information and Privacy Commissioner’s Office acted as a mediator between the ministry and the applicant.

There are 21 files in the series. Files 1 and 21 consist of correspondence between staff and the applicant, correspondence between ministry staff, a copy of the original application to view records, and photocopies of the requested pages which have been severed. Files 2-20 consist of copies of the requested pages.

The series has been classified with a file number that includes the year followed by a sequential number. The file has also been assigned the number 292-30 in the Administrative Records Classification System (ARCS). Although the ministry’s centralized Information and Privacy Branch assigned these numbers to all requests, it was the responsibility of regional offices to respond to the applicant.

Series consists of case files of freedom of information requests received by the Ministry of Aboriginal Affairs in 1996. This series includes the case files for three requests that were appealed to the Office of the Information and Privacy Commissioner.

The files consist of a copy of the original application for records, correspondence between staff and the applicant, correspondence between the ministry, correspondence and consultations with third parties and the Office of the Information and Privacy Commissioner (OIPC), submissions to the OIPC, and correspondence with the Legal Services Branch. These files also include photocopies of the requested pages which include highlighting of the restricted documents. Most of the requested documents date from 1993-1996.

Files are arranged in a sequential numbering system based on the order that the request was received by the ministry. The three files are numbers 65/96, 66/96 and 72/96. The files in this series were also classified as 292-30 in the BC Government Administrative Records Classification System (ARCS).

Campbell River Forest District silviculture records

This series consists of silviculture records from 1996-1998 by the Campbell River Forest District, a division of the Vancouver Forest Region. The Ministry of Forests defines silviculture as “the art and science of controlling the establishment, growth, composition, health, and quality of forests and woodlands to meet the diverse needs and values of landowners and society on a sustainable basis.”

Silviculture audit and assessment files regard the audits and assessments made by the Ministry to ensure silviculture is carried out in accordance with the regulations and approved silviculture prescriptions as detailed in the Forest Practices Code of British Columbia Act. Audits include records concerning a formal examination of the approved silviculture prescription document and the related area to evaluate whether or not there has been compliance with the regulations, the silviculture prescriptions are suitable to attain the objective stated therein, and there is acceptable progress towards achievement of silviculture objectives stated in the approved silviculture prescription. Silviculture prescription audits are carried out on areas under both major licences and areas under the Small Business Forest Enterprise Program (SBFEP) with approved silviculture prescriptions. Types of audits and assessments included are pre-approval assessments and post-approval audits. Records can include correspondence, inspection forms, reports, and compliance reports for soil conservation, regeneration, and free growing obligations. These records cover major licencees and woodlot licnces.

Violence against women files

The series consists of reports, correspondence, and memoranda documenting the province’s efforts at combating and eliminating violence against women. The records relate to physical, emotional, mental, and sexual abuse of women at the hands of partners, family members, and individuals sexually exploiting them. The records were created and received by the Women’s, Senior’s and Community Services division of the Ministry of Community Services between 1996 and 2004. It is unclear whether the records were created by the Stopping the Violence branch or whether they were created elsewhere in the division. The series also includes records on transitional housing.

The records are organized numerically by file code and then alphabetically by file title. The records are covered by ORCS 30000-20 and 31000-20 of schedule 117476 (Women’s Equality).

Aboriginal relations and reconciliation communication office - communication projects

The series consists of records documenting communication projects developed by the office of Aboriginal Relations and Reconciliation, Public Affairs Bureau. These records were created and received by the ministries that had responsibility for this office between 1996-2008: Ministry of Labour and Citizens' Services (2005-2009), Ministry of Management Services (2001-2005), and Ministry of Finance and Corporate Relations from 1996-2001.. The records in this series relate to the design, development, and implementation of communication projects for government agencies and ministries responsible for aboriginal relations and reconciliation across government, particularly the Ministry of Aboriginal Relations and Reconciliation. Communication projects are strategies for the release of information to the public. The project types range from drafting speeches or event planning, to creating minister’s speaking notes for question and answer sessions, or announcing a new government initiative. Many of these projects relate to communicating to the public about treaty negotiations and agreements such as agreements in principle, treaty agreements, interim measures and funding agreements between Indigenous groups and the government. The series also includes advertising project files which contain a communications project approval form, details of advertising costs and orders, order placement forms, and samples of the advertisement. Several files cover communication strategies on BC’s referendum on treaty principles in 2002.
The series is arranged by subject. It consists of communication plans, news releases, event planning materials, information bulletins, key messages, issues notes, articles, presentations, letters to the editor, submissions, media advisories, forms, questions and answers (Q and As), and speeches and speaking notes. The records are classified as 23100-30 communication projects and 23040-30 advertising projects under the Government Communications ORCS (schedule 881035).

Regional growth strategy case files

The series consists of advisory and informational records developed by the provincial government for local governments to facilitate developing, adopting, and implementing regional growth strategies, which are strategic plans that commit participating municipalities and regional districts to a course of action to meet common social, economic, and environmental objectives, 1996-2006. The Local Government Act (RSBC 1998, c. 323) provides a framework for interactive planning between regional districts, municipalities, and the provincial government for creating these long-term land and resource management plans at the regional level. The plans often deal with rapid urban growth and its effect on matters such as air quality, affordable housing, transportation, drinking water, farmland, and wilderness, and natural areas. Some of the records in this series cover provincial government involvement in major projects such as large-scale transportation projects that may have significant environmental, economic, social, cultural, and health effects. The Local Government Department, part of the Ministry of Community Services and its predecessors, is responsible for this set of records.

This series is arranged by regional district or project name. The records include correspondence, memoranda, briefing notes, bylaws, minutes, agreements, and reports. The records are classified under growth strategy case files (55700-20) of the Local Government Services ORCS, 2006.

Wildlife habitat assessment training materials

Series consists of course materials used to train staff in wildlife habitat inventories and assessments. The courses were created by the BC Government’s Resources Inventory Committee to train staff in how to create inventories of small mammals, raptors, bats, songbirds, the Marbled Murrelet and Plethodontod Salamanders.

The material includes instructor and participant manuals and workbooks. The workbooks contain a wide variety of media including overhead transparencies, slides, compact discs, cassettes, photographs and maps.

These records were classified as 17635-05 in the Administrative Classification System (ARCS).

Resource inventory training program packages

The series comprises the final published version of standard-based training packages for the collection, storage, analysis, interpretation, and reporting of natural and cultural resources inventory data. The training packages were developed by the Resources Inventory Committee, which became the Resources Information Standards Committee. These courses were developed for public servants working in the field in order to encourage a standardized system of data collection.

Agricultural insurance programs

The series contains the records of the Business Risk Management Branch of the Ministry of Agriculture and Lands (and its predecessors) in relation to agriculture insurance and income assistance programs. The records cover at least the following programs: Whole Farm Insurance Program, Agricultural Income Disaster Assistance, Canadian Agricultural Income Stabilization, Calf Set-Aside Program and the Bovine Spongiform Encephalopathy (BSE) Recovery Program.

Records in the series include financial records (administrative costs journal vouchers, audit reports, inventory price lists), organization charts, records related to federal and inter-ministerial agreements and/or committees, executive services (briefing notes and correspondence referrals), advertising projects, media releases, reports and other similar records.

Executive correspondence

The series consists of the executive’s records of the Ministry of Agriculture and Lands. There are also a small amount of records from the ministry’s predecessor, the Ministry of Agriculture, Food and Fisheries. They cover the years 1996-2009.
The records relate to various administrative services for and by the ministry executive, mainly correspondence and briefing notes. A large portion of the series contains incoming and outgoing correspondence referrals. These letters and emails respond to the questions and concerns sent by citizens and corporations related to the agricultural sector in Canada and are referred to an office in the ministry for reply, such as the Minister, Deputy Minister or Assistant Deputy Minister. Each of these letters typically includes a tracking slip indicating to whom the letter was forwarded and what action was ultimately taken.
Other correspondence in the files includes the collection of information on current issues the Ministry was involved in. A lot of this correspondence is supplemented with pamphlets, booklets, copies of news clippings and other documents. There is also a copy of the book ‘The End of Food’ by Thomas. F. Pawlick (Greystone Books, 2006).
The executive correspondence referral replies appear to be arranged by referral number and to some extent by date. Depending on the topic concerned, some letters took longer to reply to and therefore the chronological order is not always maintained in accordance to the referral number. During some years, they were also organized by the first letter of the sender’s last name. Some files of correspondence may also be arranged to some extent by the person replying to the letter. Correspondence and accompanying documents relating to special topics issues of interest are organized by subject.

Health authority legislation and policy review files

The series consists of draft and final policies, reports, presentations, and correspondence created by the Health Authorities division of the Ministry of Health between 1997 and 2010. Although accession 96-7866 was transferred to the Archives by the Health Authority division’s successor, the Health Services Policy and Quality Assurance division, the dates of the records suggest that they were created by the Health Authorities division. The series documents the review and formulation of recommendations on legislation and policy pertaining to the province’s health authorities, including policies on acute care and donations of gifts.

The series is arranged by policy topic. Policies pertaining to a subject may be found in different accessions. The series is covered by ORCS schedule 122352 (Health Authority Performance Management), secondaries 25200-20 and 25200-30. Except in cases where records were clearly misclassified, the series has been based entirely on the ORCS number. Records in all accessions were heavily interfiled with records from other series, which has led to significant cross-over between the series. Researchers are advised to consult finding aids for the following related series in order to better and more fully understand the records : GR-3512, GR-3513, GR-3515, and GR-3516.

Executive briefing notes

Series consists of executive briefing notes prepared for the executive of the Ministry of Advanced Education, and its preceding ministries: the Ministry of Advanced Education, Training and Technology, and the Ministry of Education, Skills and Training. The briefing notes are created to provide a succinct overview of issues relevant to the Ministry executive, and as a result the notes cover a broad range of issues related to education in British Columbia. The notes typically contain recommendations for action or response.

The files are comprised of briefing notes as well as internal correspondence, discussion papers, and notes and summaries on programs from other provinces and countries. Also included in this series are preparatory materials for a presentation on 2002 legislation (which contains reference to the Degree Quality Assessment Board; for more information see GR-3549). There is also a Ministry profile which includes an organizational chart of the Ministry in 2002.

Academic awards : Premier’s Excellence

The series consists of records documenting the Premier’s Excellence Award given to top high school graduates to attend a British Columbia university, college, or institute. The records contain the full application packages of successful applicants, which are comprised of personal essays, curriculum vitae, letters of recommendation, proof of academic achievement, and other documentation supporting merit and qualifications of the applicant. The files also contain correspondence between the Ministry and the successful students, and well as interoffice memos regarding the Premier’s Excellence Award.

The Premier’s Excellence Award was established in 1986 and consists of a financial scholarship to attend a British Columbia post-secondary institution and a medal of recognition. The awards are based on the student’s academic achievement and service to their communities and schools. One grade 12 student is awarded per year from each of British Columbia’s fifteen college regions. Successful candidates are selected by a screening committee.

Adult Services Program annual reports

The series consists of annual reports created by different branches of the Adult Services Program. between 1998 to 2004. These programs include: Technology and Services Support Program : Assistance Program for Students with Disabilities; Technology and Services Support Program : Canada Study Grant; Creating Access to Educational Employment Opportunities; and Program for Institutional Loads of Adaptive Technology. These programs serve post-secondary education students with disabilities who can benefit from special technology support services.

These records correspond to ARCS 440-20.

Executive correspondence and briefing notes

The series consists of correspondence referral replies and briefing notes from the various offices of the Ministry of Agriculture, Food and Fisheries and its successor the Ministry of Agriculture and Lands.

To date, the series contains the records of the Southern Interior Regional Office located in Kelowna, B.C., the Resource Management Branch located in Abbotsford, B.C., the Ministry office in Abbotsford, B.C, and the Strategic Industry Development Division. The correspondence mainly consists of Ministerial correspondence which includes letters that the office was meant to reply directly to, draft for the Minister to sign, or letters that the office was copied on for informational purposes. The records include both incoming and outgoing correspondence with the public, municipal governments, non-profit organizations, and other groups. There are also a number of briefing notes regarding various decisions and discussions within the ministry that were sent to offices for informational purposes. Correspondence from the Abbotsford office appear to be related to food safety and quality. Files from the Strategic Industry Development Division include records and presentations from the Federal/Provincial Steering Committee on Investment.

Many of the records were previously housed in large binders which have been removed for preservation purposes. The records are arranged chronologically by date received and to an extent by referral ID number. Some records created after 2002 have tabs with the ID number written on them for ease of use. Files are also accompanied by a summary sheet at the beginning detailing where the letter is being directed to, what the action is and a brief description of the topic.

The records are primarily filed under ARCS 280-20 and 280-30.

Pharmacare executive records and briefing notes

This series consists of executive correspondence, reference material and briefing notes of the Pharmacare Division, 1998-2008. Records regard all aspects of the operation and maintenance of the Pharmacare program.

Briefing books include information about the history and operations of the Pharmacare division, put together for MLAs and other Executives, such as budgets, advice to Minister, and information on coverage, cost and use for specific drugs in the Ministry of Health estimates debate.

Briefing notes are usually arranged by year and include an index at the front listing all topics addressed. Briefing notes may be filed with associated approval forms, drafts, final copies, correspondence, and reference material. Briefing notes relate to hardship appeals, changes to coverage, drug availability, drug costs, reviews of new drugs and program priorities.

Other reference material includes fact sheets on various aspects of the Pharmacare program and drug review fact sheets, for use of MLAs and other executives, and Bibliographies of alphabetical copies of reports or studies related to pharmaceuticals.

The series also includes correspondence referral replies from the Executive Director, Pharmacare and Assistant Deputy Minister, Pharmaceutical Services. Most letters may be from other government bodies, private companies, charities, advocacy groups, Doctors, MLAs or private citizens. Most letters relate to cost and availability of specific treatments.

British Columbia. Pharmacare division

Water use planning records

The records in this series relate to Water Use Plans in British Columbia.
In 1998 the province formally initiated a Water Use Planning (WUP) program. WUP is a cooperative effort involving BC Hydro, the provincial government, Fisheries and Oceans Canada and First Nations and other key interested parties. Guidelines were published describing steps required to complete and implement a water use plan. At each facility these plans attempt to define suitable operating parameters which balance environmental, social and economic values. The WUPs are intended to accommodate other water use interests through incremental changes in how existing water control facilities store and release water. WUP are not intended to be comprehensive watershed management plans to deal with water management issues associated with other activities in the watershed such as forestry and mining.

Each hydro facility had their own Consultative Committee of stakeholders, representing a range of interests. These committees held meetings with the aim to establish operating objectives for water use and management for the various water systems. Committee reports express their interests, values, and recommendations and document the consultative process. It is a supporting document meant to help inform and prepare BC Hydro’s Water Use Plan. This series contains both committee reports and the final version of BC Hydro’s Water Use Plans that were submitted to the Comptroller of Water Rights for review under the Water Act.
The reports include a system description (basins, rivers, dams, reservoirs etc.), methodology, hydro operation studies and results.

The series also contain BC Hydro data and interim orders from the Comptroller of Water Rights. Interim orders appear to be proposed operational changes to achieve flows which will provide incremental improvements for fish while the water use plan process was underway and assessment was still being made to determine what the most suitable or preferred flows for fish should ultimately be.

Finally, a few documents in the series deal with redevelopment plans to support BC Hydro water license applications in light of recommendations established in the Water Use Plans.

Inter-provincial/federal meetings

The series consists of records documenting federal-provincial relations as they relate to First Nations. They include the minutes of the meetings of the Senior Officials Committee, and the meetings between BC Deputy Minister of Aboriginal Relations and Reconciliation, Lorne Brownsey, and several federal and provincial officials from various ministries.

The records contain minutes, correspondence, memoranda, agendas, itineraries, and overviews and background information on various issues relevant to Aboriginal and government relationships.

The primary goal of the federal meetings is to identify areas of collaboration and cost-sharing between BC provincial and federal governments on Aboriginal issues, with a particular focus on closing the socio-economic gap, treaty negotiations, and the New Relationship (a new government-to-government approach between the BC provincial government and First Nations agreed to in 2005). These files also contain a letter from Premier Gordon Campbell to Jim Prentice, the federal Minister of Indian Affairs and Northern Development and Interlocutor for Métis and Non-Status Indians.

Accession 96-0530 (Container 960530-0004) contains records relating to the Senior Officials Committee or Group. The committee or group provides analysis and support services to the federal and provincial governments regarding cost-sharing and the negotiation of treaties.

Tourism industry development special projects case files

The series consists of correspondence, published reports, drafts, planning and progress documents, statistical surveys, meeting records, and PowerPoint presentations related to special projects carried out by Tourism BC between 1999 and 2009. These include work related to the “Welcome the World” campaign that was developed in the lead-up to the 2010 Winter Olympics in Vancouver, as well as to the impact on tourism of the merger between Canadian airlines and Air Canada in 2001. The series documents the province’s work with other provincial and territorial leaders in various consortia and discussions. The series includes several task force documents on the airline merger as well as drafts of reports later published by the Federal government. The records were created by the marketing and client services branches of Tourism BC.

Records of the Vice President (Visitor Experiences) and President and CEO of Tourism BC

The series consists of both inbound and outbound executive correspondence created by Tourism BC. The records were largely created by Rick Lemon (Vice President, Visitor Experiences) and Rod Harris (President and CEO, Tourism BC). The series also includes one folder of other executive correspondence written by a number of other Tourism BC employees. The correspondence was created between 1999 and 2005, and is arranged first by writer and then chronologically by date. Correspondence packages consist of outbound Tourism BC correspondence, as well as either a Ministry routing slip with a brief description of the original letter, or a copy of the original incoming correspondence itself. Other relevant inter-ministerial correspondence may also be included in some cases.

The majority of correspondence deals with complaints from visitors to the province, but also includes some requests for promotional or informational material, or complaints or questions from tourism operators themselves. In most cases, inbound correspondence was referred to either the Vice President of Visitor Experiences, or the President of Tourism BC himself, although lesser matters were also routed to other employees.

Government communications project records

The series consists of communication project records created by the government communications office (Public Affairs Bureau) Ministry of Citizens’ Services (2009-2011) and its predecessors : Ministry of Labour and Citizens’ Services (2005-2009), Ministry of Management Services (2001-2005), and Ministry of Finance and Corporate Relations (1999-2001) in BC. The records relate to the design, development, and implementation of communication projects by the community and rural development communications office. Communication projects are strategies for the release of information; the project types range from drafting speeches or event planning, to creating minister’s speaking notes for question and answer sessions, or announcing a new government initiative. Some of the methods of communication projects can be through websites, events, or written media. These records document the public communication of the provincial government’s platforms and initiatives. This series of records relates to communications between the ministry and the public on such diverse topics as the BC Winter Olympic games, BC Arts council, community development initiatives, legislation, local government and Union of BC Municipalities (UBCM), regional economic development, sports, and tourism.
These records are arranged by subject. The records include communication plans, news releases, event planning material and rollout plans, information bulletins, key messages, issues alerts, articles, presentations, letters to the editor, copies of model release and copyright agreements for images used, opinions and editorial submissions, media advisories, site maps, source material, questions and answers (Q and As), speeches and speaking notes, maps, and audiovisual material). This series is classified as communication projects (23100-30) under the Government Communications ORCS (schedule 881035).

Ministry correspondence and briefing notes

The series contains the executive services records of the Ministry of Sustainable Resource Management and its successor the Integrated Land Management Bureau (ILMB). Records include briefing notes for distribution (including information notes and decision notes) to executives of the Ministry regarding a variety of topics related to land use planning and implementation while ILMB records have a strong focus on First Nations issues as they relate to land use planning. Records also include executive correspondence and referral replies. Correspondence is between the Ministry and the public or organizations/associations and covers mostly the same topics as in the briefing notes.

The records are classified according to the Administrative Records Classification System (ARCS) schedule 100001. The records are arranged for the most part by year and then by topic.
The majority fall under ARCS primary number 280: Executive Services. The primary numbers -20 and -30 correspond to Executive Briefing Notes and Executive Correspondence Referrals respectively. There are however a very small number of documents from accession 95-9631 that were filed alongside executive services documents that are included in this series as misfiles. These records may also be closely related to the correspondence files and complement the detailed responses from the Ministry in regard to matters concerning LRMPs in the region. Records from accession 95-9631 relate to the monitoring process of the Skeena Region following the approval of its Land and Resource Management Plans (LRMP). The majority of the records come from the Regional Director’s office of the Ministry of Sustainable Resource Management in Smithers, B.C. Earlier records came from the Kispiox Forest District of the Ministry of Forests who chaired the implementation and monitoring process of the region’s LRMP prior to those responsibilities being transferred to the Ministry of Sustainable Resource Management in 2001.
Furthermore, these records document the creation of the LRMP monitoring committees and the Ministry’s involvement with monitoring and making changes to the Skeena Region’s Land and Resource Management Plans. Committee files include terms of reference, presentations and a series of invitations, nomination forms, recruitment letters, newspaper ads and contributions, correspondence, meeting minutes and draft recommendations.
There are also a small number of plans and programs for the region proposed by the Ministry, which include resource inventory, resource assessments, habitat mapping, recreation opportunities, timber, environmental assessments and other related data studies. Records relating to agreements surrounding these projects detail appointments, contracts and funding provided by the ministry.

British Columbia Lottery Corporation (BCLC) Ombudsperson’s investigations

The series consists of the ombudsperson’s investigation into the British Columbia Lottery Corporation (BCLC)’s prize payout procedures. BCLC retailers and BCLC retailer employees (the people who handle players’ winning tickets) appeared to be winning major prizes at a higher rate than other players in the province. The public and the media expressed concern that some of those winning tickets may actually belong to ordinary players. The ombudsperson’s investigation commenced when the public and media’s questions about whether the rightful owner of a winning ticket was paid the correct prize, were not adequately answered by the BCLC or its government regulator, the Gaming, Policy, and Enforcement branch. This series of records was created and received by the British Columbia Lottery Corporation (BCLC) between 1999 and 2010. The Ombudsperson’s report was released in 2007.
The series contains the original freedom of information request file, correspondence between the ombudsperson and BCLC president and CEO, documentation requests and BCLC responses, consumer complaints and incident reports, records released, statistics of winners and retail winners, interviews with prize winners, internal BCLC policy and procedures documents, telephone logs, consumer and other investigation files, security and enforcement files. These records are governed by the Ombudsperson Act (RSBC 1996, c. 340) which sets out how disputes about government actions arise and are resolved.
The records are arranged by binder number or topic. They include correspondence, reports, master document lists, presentations, statistics, memoranda, and claims files. They are also assigned an internal control number. The series is covered by the Administrative Records Classification System (schedule 100001) ARCS 155-20 (Ombudsperson’s investigations).

Stumpage adjustment summary reports

The series consists of stumpage adjustment summary reports generated by the Revenue Branch of the Ministry of Forests. These are reports that have been printed from the Ministry of Forest computer system. They were used determine the fees to charge forest companies.

The files cover all areas of the Province and were created in accordance with the Forest Act (RSBC 1996, c. 157). The Province is divided into two appraisal regions for the purposes of stumpage. These regions are the Coast and Interior and each of these is documented in separate reports.

Most of the reports document the mean value index for timber and help forecast the revenue to the province. The reports have a wide range of information and include district summaries, rate calculations arranged by district, value of species, and mark volume.

The ministry ran reports from January, April, July and October. Each report is dated and named and there are also coloured sheets of paper at the front of each file that correspond with the month of the report. Blue sheets are from January, green sheets are from April, pink sheets are from July and yellow sheets are from October. The records arrived in the archives in no discernible order. The archives has arranged them by date and region.

These records are classified as 21710-30 in the Forest ORCS which states that the records are retained for seven years by the ministry and then transferred to the archives.
