Sisters of St. Ann, St. Joseph's Province fonds

This fonds consists of records created by The Sisters of St. Ann over the approximately 160 years that they have operated in the West.

St. Joseph’s Province, as an organizational structure, was formed in 1891 and incorporated by the Province of British Columbia in 1892. Prior to that, the governing body of the Sisters of St. Ann in the west was primarily the Vicariate, and the Vicariate’s records and functions were absorbed by the Provincial Administration within St. Joseph’s Province. The Province encompassed all the western provinces and the two territories of Canada as well as Alaska and Washington State. The Administration was composed of the Provincial Superior or Leader, her secretary and Councilors, the Provincial Bursar or Treasurer, the Provincial Archivist, and at one time, the Prefect of Studies, Prefect of Music, Mistress of Novices, and Directress of Juniorate. In 2004 co-leadership roles were established, with two Sisters as co-leaders in 2004 and a triumvirate created in 2017. In 2019, St. Joseph’s Province was suspended and a new Local Community was founded.

As it was an intermediate form of government, the Provincial Administration raised issues with the General Administration on behalf of the local houses, but was free to act on its own within the constraints of the Constitution and Rules of the Sisters of Saint Anne, particularly with regard to dispensations, permissions, finances, and establishment or closing of ministries. The Provincial Administration of St. Joseph's Province has always been maintained in Victoria, B.C., as a separate juridical entity and until 1974, was housed at St. Ann's Academy in Victoria. After the closure of the school and the sale of the buildings, the administration was moved to Begbie House at 1550 Begbie Street, Victoria, B.C.

Recording activities, transactions, and persons has always been a policy with the Sisters of St. Ann and these are found in ledgers, registers, and forms throughout the fonds, particularly in the context of schools. There are files of correspondence relating to certain subjects or activities, reports and copies of reports made to counterparts in the General Administration and vice versa, minutes of meetings, chronicles (house journals), journals of official visitations, school records, records of Sisters' studies, and a great deal of miscellaneous reference, "orphaned", or ephemeral material.

The records consist of correspondence, letterbooks, minutes, secretary's files, reports on staff, buildings, bequests and various records of the Royal Jubilee Hospital, including patient registers and financial records.

The fonds consists of records related to the administration of the hospital as well as the admission and treatment of patients. Records include: minute book of board meetings and other hospital meetings (1862-1881); annual reports (1864-1868, 1904); financial records (1862-1904); records of tenders (1862-1916); correspondence, including applications for positions (1861-1903) and miscellaneous records, including by-laws and subscription lists (1863-1908, 1912, 1937 and 1943); case books of Dr. Thomas R. McInnes and Dr. Charles Newland Trew (1874-1882); patient histories, prognosis and orders (1878-1881); record of patient diets (1881-1888); record of patient valuables (1910); and patient registers and admission slips (1862-1901). Also included in this fonds are the minutes of the New Westminster Medical Society (1893-1903) and the treasurer's book of the Women's Auxiliary of the Royal Columbian Hospital (1920-1926).

Records in accession N/A/R81 include the 1861 resolution that led to the creation of the hospital, and 1865 letter regarding the establishment of a dispensary within the hospital, and a tally of patients received during the years 1862 to 1865.

Newspapers and clippings files

Series consists of newspapers and newspaper clippings collected by the Sisters of Saint Ann and the SSA Archives as they relate to the work and mandates of the congregation.

Containers MS3673-0001 through MS3673-0004 contain a nearly complete run of the BC Orphan's Friend, a monthly newspaper produced by the Catholic church to generate support for orphaned children.

Containers 002340-2811 and MS3673-0021 hold single editions of various newspapers related to the SSA or the Catholic Church.

Containers MS3673-0005 through MS3673-0021 contain clipping files arranged by subject. Subjects include healthcare and hospitals, various churches and dioceses, residential schools and parochial schools, local organizations, SSA institutions, people related to the congregation, and various other subjects.

St. Joseph's Hospital records

Series consists of records related to the construction, maintenance and administration of St. Joseph’s Hospital in Victoria, as well as the associated local house where the Sisters who staffed the hospital resided. Related to the hospital administration and function, the records in this series include historical information, reports, meeting minutes, staffing reports and lists, agreements, building plans and proposals, correspondence, financial reports, commemorative materials, and newsletters. Patient registers and a register of deaths exist within this series but are not comprehensive.

The records of the Sisters’ convent relate to the management of their personal and religious lives, often overlapping with their work at the hospital. The records include chronicles, Local Council minutes, appointments to offices and official visitations.

Other records relate to support organizations – St. Joseph’s Hospital Society, St. Joseph’s Hospital Cancer Fund Society and St. Joseph’s Hospital Endowment Fund Society – that raised money for the hospital and its work, and the St. Joseph’s Hospital Farm and Vernon Villa. The farm supplied food for the hospital, and Vernon Villa was established as a separate tuberculosis institution.

Riverview Hospital historical collection

This series consists of a variety of records created by various provincial mental health institutions from 1872 to 2008. Records relate to the administration and operation of Riverview Hospital and related mental health facilities at the Essondale site in Coquitlam, as well as other facilities across the province. These mental health institutions include: Victoria Asylum, New Westminster Provincial Asylum (later Public Hospital for the Insane or Provincial Hospital for the Insane), Home for the Aged Coquitlam (later Valleyview), Home for the Aged Terrace (later Skeenaview), Home for the Aged Vernon (later Dellview), Crease Clinic, Colony Farm, Colquitz, Woodlands School, Tranquille and other medical facilities.

The names and administrative structure of these institutions changed over time. Mental health functions were originally part of the Provincial Secretary’s mandate; they were transferred to Mental Health Services when it was created in 1950.

These government records were collected by the Riverview Historical Society and include a wide variety of subject matter and media. This includes subjects such as: early development of the Essondale lands and Colony Farm; the construction and expansion of the facility; admissions, transfers, and discharges of patients; administration of patient care; administration of therapy programs; patient and staff recreation; staff and nurse training; operation of the audiovisual department; library services; research into new medical and therapeutic practices; research by staff regarding mental health practices at Riverview and further afield; community involvement; volunteer activity; policy development; the redevelopment of the Riverview lands; general administration; and, administration of other services at the site such as postal, food, laundry, banking, transportation and safety services.
